PROSPECTIVE EXHIBITORS AND EVENT SPONSORS The West Virginia Society for Respiratory Care, Inc. (WVSRC), a non-profit and chartered affiliate of the American Association for Respiratory Care (AARC), invites you and your organization to exhibit at our conference.

The event’s goals are to increase the knowledge and capabilities of healthcare professionals working with patients with lung disease. The individuals participating will be AARC/WVSRC members and non-members, hospital and clinic-based respiratory therapists, Pulmonary Function, Sleep lab, Pulmonary Rehab, Durable Medical Equipment, and Home Care-based staff, registered nurses, respiratory therapy students, and other healthcare providers.

As an exhibitor, we would like your company to provide information pertaining to the diagnosis, education, management, and/or treatment of lung disease, as well as organizations who have a vested interest in respiratory therapists. This can include but not limited to equipment or medication demonstrations and products, educational or informational fliers and brochures, recruiters, and materials pertinent to this conference. We also welcome organizations who employ or recruit specific specialty services and staff.

Suggested arrival time to set up booth: Feb 4 after 4pm (PREFERRED); or Feb 5 from 645am-7:30am

Conference hours: Feb 5: 7:00am-7:30pm; Feb 6: 7:00am – 12:00pm

Estimated number of attendees: 130

Number/size of tables per booth: One 6-8 ft. table per vendor unless additional requested

Number of chairs: 2

Tablecloths: (standard white provided by facility)

Exhibitor Fee:  $700 per vendor – fee is for vendor space only (with up to 2 staff)

• If your company has up to 2 additional staff attending, there is an additional fee of $50 per representative (max 2 additional staff with one exhibitor fee)

LATE Exhibitor Registration Fee: After January 4, 2026, exhibitor space will be $800.

Exhibitors are permitted to purchase more than one table to accommodate a larger space and/or additional representatives.

*Note: Exhibit area is separate from the lecture area as required for continuing education units.

**WVSRC Non–profit W9 certificate available upon request.

***Vendor staff are eligible to receive continuing education for lectures they attend. See the registration table for details.

EVENT SPONSORS 

This event would not be possible without support from our exhibitors and special event sponsors. Please show your support by signing up for one or more of the special events listed below. By doing so, you will receive special recognition during the conference. To sponsor a portion(s) of the event simply add that to your Exhibitor Registration, or simply only provide a Sponsorship if you and your organization do not wish to be an Exhibitor.

• Registration: $300 – company name displayed on agenda and displayed in the registration area.
• Refreshment Break AM: $400– company name listed on agenda and displayed in break area.
• Refreshment Break PM: $400– company name listed on agenda and displayed in break area.
• Main Meal Sponsor: $500 – company name listed on agenda and displayed in the meal area.
• Welcome Event Sponsor: $1,000– company logo displayed with verbal recognition throughout conference.

RESTRICTED/UNRESTRICTED GRANTS: If your organization requires the WVSRC to complete an online application or form(s) to receive an unrestricted or restricted grant for your organization to attend as an exhibitor and/or provide a presenter for this event, please notify the WVSRC with details as soon as available to begin this process.

Follow the steps below to complete our secure registration and payment with a major credit card.

• A PayPal account nor login is required, simply pay as a guest. You will receive an email confirmation when you have completed the registration and provided payment.
• Please disable popup blocker before registering, as it may prevent the payment window from opening. If you’re using a work computer, the firewall may prevent the registration and payment window from opening.
• If paying online, exhibitors do not need to complete the paper version attached below.

By Mail Registration and Payment: 

Complete and return the WVSRC Exhibitor and Sponsorship Registration Form via email for check payment only as soon as available to lock in your registration fee price or sponsorship. Details on submitting payment can be found on the attached form.

LODGING: Reserve by Jan 5, 2026! A limited block of rooms and cabins are available at the reduced conference rates of $112/night for King or Double Queen rooms. Junior Suites are available.                   2-bedroom cabins are $223/night and 4-bedroom cabins at $263/night.

Select your arrival date/departure date and when the next screen comes up, you will see a box on the left lower side to enter your group code. Once you enter it, it will show all the room types in the block, rates, etc. Complete the reservation from there.

If you plan on arriving early, staying late, or want a different room type other than what is in the block, you will have to call in to the lodge. 

CONTINUING EDUCATION: The WVSRC is an approved provider for continuing education by the WV Board of Respiratory Care and the WV RN Board. Earn a maximum of 10 continuing education units when attending both days. Application will also be made to the AARC for 10 CRCE approval.
